Administrative and Communications Assistant
Provide administrative support to the Senior Vice President for Communications and Development, Director of Public Information, Director of Publications, and other Communications Department staff, manage daily operations of the Communications Department, and assist with internal and external communications, special events, fundraising, and donor relations for this highly respected nonprofit organization with a strong commitment to communications. Strong administrative and communication skills required.
Provide administrative support to the Senior Vice President for Communications and Development by maintaining Outlook contacts/calendar (including scheduling and coordinating meetings), preparing spreadsheets and PowerPoint presentations, answering phones, opening/organizing mail, preparing correspondence and mass mailings, and following up with staff on assignments administered by the SVP for Communications and Development.
Provide support to the Director of Public Information, including assistance with social media, media research, press releases, and maintenance and development of media and constituency lists through the Raiser’s Edge database.
Support the Communications Department by fulfilling information requests, maintaining records, ordering supplies, managing department expenses by assisting with purchases and handling expense reports, tracking and reporting on media placements, and assisting with internal communications activities including the intranet and special projects and events.
Assist the Director of Publications and publications staff with photo research, updates of publication lists and website content and pages, and other activities as needed.
- Provide support to the Development Department on donor and prospective donor research and stewardship activities; work on-site at the annual Gala, which occurs outside normal working hours, and other external events several times during the year.
- Collaborate with other administrative staff on special projects and routine assignments as needed.
- Other duties as assigned.
Bachelor's degree and preferably one to two years of administrative experience in a communications/public affairs environment.
Knowledge and Abilities. Strong communications skills (oral and written) and interest in being part of a committed team of professionals. Strong administrative skills with knowledge of correspondence and document preparation; excellent proofreading skills; high attention to detail; and the ability to multitask. Superior PC skills, including MS Office Suite and Outlook. Website, social media, and graphics skills are strongly preferred. Experience using Raiser’s Edge is also a plus.
